Virtual Assistants from the Philippines
Virtual Assistants from the Philippines

If you are looking to hire a virtual assistant in the Philippines for your Australian business, you probably want the same thing many owners tell me they want: someone capable who can take ownership, so the business does not rely on you for everything.

Then you start looking. There are job platforms, agencies, low hourly rates and candidates who seem to do it all. It is easy to compare prices. It is much harder to know who could actually succeed in your business.

That is the real decision behind agency versus direct hire. How much of the work involved in finding, setting up and supporting that person can you realistically take on?

I run Social Friends, an Australian agency with VAs in the Philippines. I also created Amber AI to walk owners through this work when they want to do it themselves. Both options draw on what I have learned about making VA partnerships work. They give you different levels of support.

I hear that VAs do not work and I understand where that comes from

People tell me they have tried a VA and it did not work. They were still answering every question, chasing tasks or fixing work they thought they had handed over. Instead of getting time back, they felt they had another job.

If that has been your experience, I understand why you would hesitate to try again.

But I know VAs can work. I work alongside them in my own business, and we support those partnerships with our clients. What matters is finding someone suited to the actual role, setting them up to succeed and continuing to nurture the relationship.

Sometimes the person is not the right fit. Sometimes the role is unrealistic, the handover is unclear or the owner and VA have different expectations. Those problems need different responses.

I do not think it helps to tell an exhausted owner to simply delegate more. We need to work out why the support is not taking the pressure off and what would make the arrangement workable.

What my own VA partnership taught me

I started Social Friends in 2020 as a digital marketing business. When I hired Marci, my first Filipino VA, we worked closely together. I explained how the business ran, and we built better ways of doing things as we went.

Over time, she took ownership of whole areas, including our funnels and marketing systems. That partnership helped shape the move into the VA agency we are today.

The important part for me is how that ownership developed. We gave it context, communication and time. The relationship became more valuable as we learned how to work together.

That is why I care about what happens after the hire. Finding someone capable is essential, but you still need a working environment where they can use that capability.

You can hire a specialist who knows their tools. You still need to explain your clients, your priorities and what a good result looks like in your business.

Working out who you need is a skill in itself

You may know what is on your to-do list without knowing whether it makes a realistic role for one person.

I have had discovery conversations about roles covering several brands, social content, SEO, Google Ads and outreach. Part of my job in those conversations is to explain that these are different skill sets, and to look at what is achievable within the proposed hours.

An applicant can recognise every tool on your list and still lack the depth you need in the most important area. A strong candidate can also struggle if the role asks them to do more than the hours allow.

This is where experience matters. You need to distinguish what the person must already know from what they can learn, decide which work comes first and assess how they will operate alongside you.

Do you need someone who follows a defined process? Someone who can recommend a solution? Someone confident enough to follow you up when a decision is waiting? Those are different requirements.

At Social Friends, we work through that with you before recruitment. If you choose direct hire, Amber AI can guide you through clarifying the role and checking your expectations before you start looking.

A well-written job description is the result of that thinking. The thinking is the part people often underestimate.

Finding a good VA means finding the right person for this role

A friendly interview and a list of software on a CV cannot tell you everything you need to know.

You need evidence of the work that matters in your business. You also need to understand how the person communicates, handles uncertainty and follows through. A brilliant designer is not automatically a strong automation specialist. Someone who needs very detailed instructions may not suit an owner who needs independent recommendations.

My approach is to look at the person, the role and the owner together. Could this person realistically succeed doing this work, with you, in the environment you can provide?

That takes judgment as well as a process. It is one reason owners who have no time to sort applications and assess capability prefer an agency. They want people who know what to look for and can help them make a better-informed decision.

If you have the time and want to learn how to do that yourself, you do not need to figure it out without guidance. Amber AI can walk you through the questions and assessment approach. You still conduct the hiring and make the decision.

The first few weeks need realistic expectations

It is understandable to want immediate relief. You have probably waited too long to get help already.

But a new team member does not arrive knowing your business, even when they have excellent skills. They need context, access, priorities and a way to ask questions without everything becoming an interruption.

SOPs—written or recorded instructions for repeatable work—help make expectations clear. So do examples of what good work looks like, agreed decision boundaries and useful feedback.

You do not need to document your entire business before hiring. You can start with the important work and build the procedures together. What you cannot do is expect someone to consistently meet a standard that only exists in your head.

The mindset matters too. If you want ownership, there needs to be room for the VA to make agreed decisions. If you approve every small step, the work will keep coming back to you. If you give no direction at all, they may be left guessing.

Getting that balance right is part of setting someone up for success. Our agency helps you establish it. Amber AI can guide you through it when you are taking the lead yourself.

A partnership needs attention after onboarding

As your VA learns the business, the role will develop. You will see what they can own, where they need support and which processes need improving.

I want owners to be able to address a problem early, without jumping straight to the conclusion that the VA cannot do the job. A missed deadline might reflect capability, unclear priorities, a blocked approval or too much work. You need to understand what happened before deciding what to change.

It is also worth recognising progress. Include your VA in the team, explain why their work matters and give feedback they can use. You are building a working relationship with a person.

For ongoing offshore support, I generally recommend at least 15 hours a week. With very small allocations, someone may need several brands to earn a steady income, making continuity harder. Give them regular time to understand your business and invest in the partnership.

That does not guarantee a perfect hire. It gives a capable person a better opportunity to succeed—and gives you a more useful basis for assessing the relationship.

Agency versus direct hire comes down to the support you need

Direct hire can make commercial sense if you have the time, willingness and ability to lead recruitment, onboarding and ongoing management. It generally means a lower invoice because you are doing more of the surrounding work yourself.

An agency can make sense when you need that work supported by people who do it regularly. You are paying for help assessing the role, finding the person and getting the partnership working, as well as the VA’s time.

I have supported a small Australian law practice whose owner initially worried about both affordability and the time it would take to train someone. We worked through what the role could take off their plate and explored finding a capable candidate they could assess.

They started part-time and have since moved to full-time. The owner is delighted with the partnership. I love seeing that change: uncertainty about whether help will be manageable becomes confidence in having someone alongside them.

That is one client’s experience, not a promise that every role will grow. It illustrates why practical support and a suitable person can matter so much to an owner who is already busy.

When you compare options, compare the same skills and hours, and include the work you would otherwise carry. Our Marketing VA and Executive VA cost guides cover the pricing side in more detail.

If you want the support but do not have time to build it yourself

This is where Social Friends can help.

We are an Australian agency working with VAs in the Philippines. Through our VA ProMatch System™, we help define a realistic role, recruit suitable candidates and assess the relevant skills, references, technology and working style.

Our VA ProStart™ onboarding helps establish the handover, early priorities and communication. Your Client Success Partner and our team remain involved, with ongoing support and mentoring for your VA.

If something is not working, you have people to help investigate and address it. If a replacement is needed, our VA Love Guarantee provides reassessment and replacement without another recruitment fee.

Some agencies simply make the introduction. We provide more support because our clients want help making the partnership work over time.

You still lead your business and give your VA direction and feedback. You have help with the role design, recruitment and relationship around that work, rather than building it all from scratch.

If your reaction to everything above is “I need help, but I do not have time to become good at all of this”, book a Discovery Call with us. We can talk through what support would make sense for your business.

If you want to hire directly let Amber AI walk you through it

You may have time to do the work yourself. You may prefer direct hire, or an agency may not fit your budget right now. I still want you to have a better chance of building a successful partnership.

That is why I created Amber AI.

It brings together my experience, IP, SOPs and the way I think about recruiting, delegating and supporting VAs – the entire system I used to 3X my business and increase my profit by 600%, and the very same system we use every day to help 100’s of Australian businesses.

The value is the guidance and judgment behind the process: clarifying the role, checking expectations, finding evidence of fit and working through problems.

Amber AI can walk you through those stages at your pace, helping you think about your business and what you need. You can start before hiring or use it to examine a partnership that is already underway.

You could begin with: “Here is everything I want to hand over, and here are the hours I can afford. Help me work out whether this is a realistic role.”

It provides AI coaching; you do the hiring, manage the person and review the guidance. It does not provide our agency’s hands-on recruitment or human support, or replace legal, financial or HR advice.

Ethical hiring matters whichever route you choose

Hiring in the Philippines opens up a wider talent pool. I want people to see the capability available, rather than choosing only on the cheapest advertised rate.

Agree fair pay for the role, pay reliably and revisit the arrangement when responsibilities grow. Set realistic availability and workload expectations. When hiring directly, clarify currency and any payment fees; with an agency, ask how its VAs are paid and supported.

Protect client information with appropriate access permissions, confidentiality arrangements and clear instructions. For businesses covered by the Australian Privacy Principles, overseas disclosure can raise obligations under APP 8. Check the arrangements and advice your business needs; using an Australian agency does not automatically remove those obligations.

Frequently Asked Questions

Is an agency better than hiring a VA directly?

It depends on the support you need. An agency can suit an owner who wants help defining the role, assessing candidates, onboarding and supporting the partnership. Direct hire can suit an owner with the time to do that work. Amber AI offers guidance for owners taking that route themselves.

What if I have tried a VA before and it did not work?

Look at why the arrangement struggled: the person’s skills, role expectations, handover, workload or communication. Those issues need different responses. A previous experience does not mean VAs cannot work for your business, but it is worth understanding what needs to change.

Can Amber AI help me work out what VA I need?

Yes. Share your priorities, proposed hours and what you want taken off your plate. It can guide you through role clarity and realistic expectations, then help you think through hiring and the working relationship. You remain responsible for the decisions and implementation.

Do I need all my SOPs finished before hiring?

No. You need a clear starting priority and enough context for the person to begin. Processes can be documented together as the partnership develops, with feedback and agreed standards.
